Goals for the Attendance Plan

  1. A school's response for this section should be in SMART format for improving attendance for each category reported in the data tables.

  2. Address early grades at your school level (K & 1, 6th Grade, 9th Grade). Analyze school-wide data to determine needs at grade levels and times of year when challenges occur more often.

School attendance data are provided reporting percent of students with satisfactory attendance, at-risk attendance, chronic absenteeism, and severe chronic absenteeism. The two-year trend allows for comparison of attendance over time and an indication of how strategies implemented to improve attendance are working.

ATTENDANCE INTERVENTION PLAN
All interventions must be documented!
School staff/administration should use strategies from the Tier 1 list to prevent attendance concerns.
ABSENCES
TEACHER ACTIONS

  • 2 or more absences in a week: Teacher will contact the front office for student absence information AND phone home to check on student.
  • 4 or more absences in a month: Teacher will get the AWE Absent form letter from the office.  The form letter reminds parents about the district’s attendance policy.  The letter will also identify the number of days that the student has been absent for the month and list the potential consequences for future absences.
 
ADMINISTRATION ACTIONS
  • 1st unexcused absence: The front office attendance contact will give the student’s name to the Assistant Principal or Principal.  The Assistant Principal or Principal will send the 1st flier home “Build the Habit of Good Attendance Early” to the parents.
  • 2nd unexcused absence:  The front office attendance contact will give the student’s name to the Assistant Principal or Principal.  The Assistant Principal or Principal will send the 2nd flier home “We’ve Got a Seat Waiting For You” to the parents.
  • 3rd unexcused absence:  The Assistant Principal or Principal will phone the parents about the child’s unexcused absence.
 
IMT’S ACTIONS
  • On the 1st school day of each month, the office will send a parent link about the importance of school attendance and summarize the district absence policies.  The parent link will be presented in a different voice or style each month, i.e. rap, salsa music, and/or animated voice, etc.
SUPPORT TEAM OF ADMINISTRATOR, SOCIAL WORKER AND RESPONSE TO INTERVENTION (RTI) TEAM ACTIONS
  • 5 unexcused absences:
    • BTIP 5-day meeting list/letters are created by District (ETS).
    • IMT will share 5-day list with AP and SSW.
    • IMT will meet with parent(s) of students about non-attendance and document reason for absences.
    • Admin will meet with parent(s) of students exhibiting pattern of non-attendance and have parent(s) sign attendance agreement if appropriate. *Requiring medical note is optional and at the discretion of an administrator.
    • If a medical note is required, Admin/SSW will inform IMT to mark all absences as unexcused when a medical note is not provided. (IMT will keep a list of all students requiring medical note)
    • If parent claims chronic illness contributes to absences and the student has a pattern of non-attendance, Admin will have parent sign verification of illness form and SSW will verify illness with a physician.
    • If a parent does not show for the 5-day meeting, IMT will send home BTIP 5-day follow up letter.
    • If students are in the RTI process and have a pattern of non-attendance, RTI coordinator will schedule team meeting and invite the parent to discuss all concerns. Attendance agreement considered at that time and signed by the parent(s) if appropriate. *Requiring medical note is optional and at the discretion of an administrator.
 
 
 
  • 10 unexcused absences:
    • Admin/designee will create SSW referral if not done already.
    • SSW will contact the parent(s) and follow BTIP guidelines for holding the parent meetings.
    • SSW will call the parent to discuss attendance at 10-day meeting.
 
TARDIES
TEACHER ACTIONS
  • 2 or more tardies in a week: On Friday or at the end of the week, the teacher will complete and send home school flier “Made It! Beat the Bell.”
  • 4 or more tardies in a month: Teacher will mark a problem in the attendance on the report card, interim report, and conferences forms. The teacher will send home flier “Build the Habit of Good Attendance Early” to the parents.  The teacher will notify administration about the student’s tardies.
 
IMT’S ACTIONS:
  • On the 1st school day of each month, the office will send a parent link about the importance of school attendance and summarize the district tardy policies used to support corrective action.  Also, parents will be told what to do when a student is tardy from school.
  • 5 or more: IMT will send the pattern of non-attendance letter home.
  • 10 or more: Parent meets with SSW. Interventions from SSW will be established and implemented during the parent meeting.
Early Sign-outs:
  • 1-3: office staff will request/document the reason for leaving school early.
  • 3-5:- AWE form letter specifically identifying the number of early-sign outs for the students and addressing the district’s policy regarding early sign-outs.

Tier 1 Strategies for Attendance - Address all five core ingredients. Tier 1 is aimed at 100% of students, parents, school staff, and community stakeholders. This is where you cast a wide net. Strategies are general to reach the largest audiences and include all employees and stakeholders.

Positive School Attendance
Tier One Strategies

  1. Let parents know the district’s policy about school attendance.  Include data from the Attendance Works flier “…Build the Habit of Good Attendance Early” on each school newsletter, AWE website, twitter and parent link.  (Flyers/information available at www.attendanceworks.org)
  2. Post-school start time on Marquise.
  3. Remind students of school start time on announcements.
  4. Require parents to personally sign in all students when they arrive to school late.
  5. Quarterly, incentivize classes with the best attendance and least tardies.
    1. Announce on the PA system.
    2. Give the class a party (ice cream, popcorn, etc.)
  6. Give positive feedback to parents of students who have improved attendance (including tardies) by sending the home note, making phone calls, and giving certificates.
  7. Recognize students at an assembly or on PA system who have perfect attendance for the month.
  8. Include attendance/tardy procedures in school handbook and in SIP.
  9. Students will celebrate good attendance at a quarterly dance party.
  10. School administrator(s) should review attendance/tardy procedures at staff meetings.
  11. Attendance/tardy policies will be reviewed at all parent conferences and school assemblies when parents are present.

Tier 2 Strategies and Interventions to Improve Attendance

Tier 2 Strategies and Interventions to Improve Attendance - Address all five core ingredients. Tier 2 identifies students using early warning indicators to make connections with students and families at the onset of the school year or emergence of patterns of non-attendance. Early warning indicators include prior year chronic absenteeism, 3 or more absences in the first 4 weeks of enrollment, more than 10% of school days absent in any time period from the beginning of enrollment.

- Tier 2 represents between 10-20% of students at all schools in Broward County. This is true at individual schools and across the District.

- Chronic Absenteeism: Absent for 10% or more school days. These absences include excused, unexcused, and suspensions as days of instruction missed.

Tier 3 Interventions - Address all five core ingredients. Tier 3 is the highest level of intervention and support for students that are absent 20% or more school days during the year.

- At most schools, Tier 3 interventions are utilized for about 5% (or less) of the student population.

Tier Three Strategies

  1. The Assistant Principal will share monthly attendance data with the staff via the Principal's newsletter.
  2. AWE form letter for improved attendance will be placed in applicable students report cards.
  3. Students will receive recognition from administration for improved attendance.
  4. Social Worker Referral is documented in BASIS for absences, tardiness, early-sign-outs.
  5. RtI Referral is documented in BASIS.
  6. Follow procedures under compulsory school attendance under s.1003.21 (1) and (2) (a), and is not exempt under s.1003.21(3) or s. 1003.24, or by meeting the criteria for any other exemption specified by law or rules of the State Board of Education. (F.S. 1003.01 (8)).
